How to Automate Dashboard Reports on Mac

Stop manually exporting reports every day. Record your dashboard workflow once and let it run automatically every morning.

Stop manually exporting reports every day. Record your dashboard workflow once and let it run automatically every morning.

Every morning, you click through the same dashboards. Google Analytics. Your CRM. The sales dashboard. The marketing metrics.

Export. Export. Export. Export.

It’s 15 minutes of your day—before you’ve done any actual work.

What if those reports were already waiting in your Downloads folder when you woke up?

The Daily Reporting Grind

Who Deals With This

  • Marketing managers: Analytics, ad performance, social metrics
  • Sales ops: Pipeline reports, forecast data, activity logs
  • Finance teams: Revenue dashboards, expense tracking
  • Operations: Inventory, logistics, support metrics
  • Anyone with KPI dashboards: Weekly/daily metrics exports

The Hidden Cost

15 minutes doesn’t sound like much. But:

  • 15 min × 5 days × 50 weeks = 62+ hours/year
  • That’s 1.5 work weeks spent clicking Export buttons

Plus the cognitive load of remembering which reports, from which dashboards, in what format.

What You Can Automate

Single Dashboard Export

The simplest automation:

  1. Open dashboard
  2. Navigate to report
  3. Click Export
  4. Select format (CSV, Excel, PDF)
  5. Save to known location

Multi-Dashboard Sequence

More comprehensive:

  1. Dashboard A → Export
  2. Dashboard B → Export
  3. Dashboard C → Export
  4. All reports ready in one scheduled run

Date Range Selection

If reports need specific ranges:

  1. Navigate to report
  2. Click date picker
  3. Select “Yesterday” or “Last 7 days”
  4. Export

Recording Your Report Automation

Step 1: Map Your Workflow

Document exactly what you do:

Example: Google Analytics Export

1. Open Chrome
2. Go to analytics.google.com
3. Click on property
4. Navigate to Reports > Acquisition
5. Click date range selector
6. Select "Yesterday"
7. Click Export → CSV
8. Save to Downloads

Step 2: Set Up Browser State

Before recording:

  • Log into all dashboards you’ll export from
  • Enable “stay logged in” where possible
  • Position browser windows consistently
  • Clear previous exports from download folder (optional)

Step 3: Record with ClickMimic

Open ClickMimic and click Record:

Recording sequence:

1. Cmd+Space → "Chrome" → Enter
   [Wait 3 seconds]

2. Cmd+L (focus URL bar)
   Type: analytics.google.com
   Enter
[Wait 5 seconds for dashboard to load]

3. Click on desired property
   [Wait 3 seconds]

4. Click "Reports" in navigation
   [Wait 2 seconds]

5. Click "Acquisition" section
   [Wait 2 seconds]

6. Click date range selector
   [Wait 1 second]

7. Click "Yesterday" option
   [Wait 1 second]

8. Click "Export" button
   [Wait 1 second]

9. Click "CSV" option
   [Wait 2 seconds for download]

Click Stop.

Step 4: Add Buffer Time

Dashboard pages often load slowly:

  • After navigation: 3-5 seconds
  • After clicking interactive elements: 1-2 seconds
  • After export starts: 2-3 seconds

Generous timing prevents clicks that land before elements are ready.

Step 5: Test Before Scheduling

Run the recording manually:

  • Did all pages load in time?
  • Did clicks hit their targets?
  • Is the file in your Downloads folder?

Adjust timing if needed.

Step 6: Schedule Daily Runs

Set the automation to run before you start work:

  • Time: 6:00am or 7:00am
  • Days: Weekdays (or whatever schedule fits)
  • Repeat: Daily

When you open your laptop, reports are waiting.

Multi-Dashboard Automation

Option A: Single Long Recording

Record exports from all dashboards in sequence:

GA Export → HubSpot Export → Stripe Dashboard Export → Done

One recording, one schedule, all reports.

Option B: Separate Recordings, Same Schedule

Create individual recordings for each dashboard:

  • “Export - Google Analytics”
  • “Export - HubSpot”
  • “Export - Stripe”

Schedule all three to run at 6:00am. They execute back-to-back.

This is easier to maintain—update one recording without affecting others.

Real-World Examples

Marketing Daily Report

Dashboards:

  • Google Analytics (traffic)
  • Google Ads (spend)
  • Facebook Ads Manager (spend)
  • HubSpot (leads)

Automation:

7:00am: Run all four exports
7:15am: Reports ready in Downloads

Sales Daily Digest

Dashboards:

  • Salesforce (pipeline)
  • Outreach (activity)
  • Gong (calls)

Automation:

6:30am: Run exports
6:45am: Consolidate into daily email (separate automation)

E-commerce Daily Numbers

Dashboards:

  • Shopify (orders, revenue)
  • Google Analytics (traffic)
  • Klaviyo (email metrics)

Automation:

5:00am: Run exports (before team arrives)

Handling Common Challenges

Dashboard Requires Fresh Login

Solution A: Most dashboards keep you logged in. Record starting from already-logged-in state.

Solution B: Include login in recording. Click login button, wait for redirect, continue with export.

Solution C: Use browser profile that saves credentials.

Page Layout Changes

If the dashboard redesigns:

  • Your recording may click wrong spots
  • Re-record the affected steps
  • Usually only needs updating for major changes

Export Format Selection

If you need specific formats:

  • Record clicking the format dropdown
  • Record selecting your preferred format
  • Some dashboards remember your preference

Downloaded File Naming

Files often have date-stamped names (report_2026-01-13.csv). For consistent naming:

  • Some dashboards let you customize filename
  • Or create a second automation that renames files

Tips for Reliable Automation

Use Keyboard Shortcuts

When available, shortcuts are more reliable than clicks:

  • Cmd+L for URL bar
  • Cmd+T for new tab
  • Cmd+W to close tab

Less dependence on element positions.

Keep Browser Window Consistent

Position your browser the same way each time:

  • Same screen size
  • Same position
  • Same zoom level

Coordinates match better when the window doesn’t move.

Schedule During Low-Usage Hours

Running at 6am means:

  • Dashboards are less likely to be slow
  • Downloads complete without interruption
  • Reports ready before anyone needs them

Monitor for Failures

Check periodically that exports are working:

  • Are files appearing in Downloads?
  • Are they from today’s date?
  • Is file size reasonable (not empty/error exports)?

Getting Started

  1. Download ClickMimic
  2. Pick your most-used dashboard
  3. Record the export workflow
  4. Schedule for tomorrow morning
  5. Wake up to ready reports

Start with one dashboard. Once it’s reliable, add more. Soon your entire reporting routine runs itself.
